Cancellation policy

Certain products offered by Kafiex Roasters may be available as subscriptions or pre-orders. The product page and checkout will disclose the applicable price, billing frequency, fulfillment schedule, subscription duration, renewal terms, and other important purchase details.

This policy applies in addition to our Refund Policy, Shipping Policy, and Terms of Service.

Subscriptions

When you purchase a subscription, you agree to receive recurring deliveries or pickups according to the frequency and duration selected at checkout.

The product page and checkout will indicate whether:

  • You will be charged separately for each recurring order;
  • You are paying in advance for a fixed subscription term; and
  • The subscription automatically renews at the end of its current term.

Payment information is stored securely through Shopify and its payment providers. Kafiex Roasters does not have access to your complete payment-card information.

Automatic Renewals

Subscriptions identified as automatically renewing will continue at the stated billing frequency until canceled.

By purchasing an automatically renewing subscription, you authorize Kafiex Roasters to charge the payment method associated with your subscription for each scheduled renewal, including applicable shipping and taxes.

You may cancel the automatic renewal at any time. Cancellation stops future subscription charges but does not automatically cancel or refund an order that has already been charged, roasted, prepared, fulfilled, or shipped.

Managing or Canceling a Subscription

You can manage or cancel your subscription through:

  • The subscription-management link included in your order and subscription emails;
  • Your Kafiex customer account, when available; or
  • Emailing info@kafiex.com.

To prevent the next scheduled charge, submit your cancellation before the next billing date displayed in your subscription account.

Contact us immediately if a renewal has already been processed. Because coffee is roasted or prepared specifically for each order, we cannot guarantee that an order can be canceled after it has entered production or fulfillment.

Subscription Changes

Depending on the subscription and the options available in your customer portal, you may be able to:

  • Update your shipping or billing information;
  • Change your delivery address;
  • Skip or reschedule an upcoming order;
  • Pause your subscription; or
  • Change an available product selection.

Changes must be completed before the next scheduled order is processed. Changes made afterward will generally apply to the following order.

Prepaid Subscriptions

A prepaid subscription covers the full term selected at checkout.

Canceling a prepaid subscription prevents any future automatic renewal, when applicable, but does not ordinarily provide a refund for the unused portion of a prepaid term after fulfillment has begun.

Refund requests involving prepaid subscriptions will be reviewed individually and handled in accordance with our Refund Policy and applicable law.

Kafiex Coffee Club

The Kafiex Coffee Club is a local subscription with scheduled coffee pickups during each membership term. Memberships may renew quarterly when identified as automatically renewing at checkout.

Canceling a Coffee Club membership stops the next renewal. It does not retroactively cancel the current quarter or create an automatic refund after coffee for that membership period has been prepared or made available for pickup.

Shipped Kafiex Coffee Subscriptions

Shipped coffee subscriptions are fulfilled according to the schedule selected at checkout.

Canceling a shipped subscription stops future renewals and shipments but does not cancel a shipment that has already been charged, roasted, packed, or transferred to the shipping carrier.

Failed Payments

If a recurring payment cannot be processed, Shopify or our subscription provider may retry the payment and may notify you to update your payment method.

Kafiex may pause or cancel a subscription if payment cannot be completed.

Pre-Orders

A pre-order allows you to purchase a product before it is currently available for standard fulfillment.

The product listing will provide an estimated availability or fulfillment date when one is available. Any release, roasting, shipping, or delivery date associated with a pre-order is an estimate and may change because of production, transportation, supply, customs, or other circumstances outside our reasonable control.

Depending on the specific offer, Kafiex may collect:

  • Full payment at checkout;
  • A partial deposit, with the remaining balance charged later; or
  • No payment initially, with payment collected before fulfillment.

The applicable payment arrangement will be disclosed before purchase.

Canceling a Pre-Order

You may request cancellation of a pre-order before it has entered production or fulfillment by contacting info@kafiex.com.

If the cancellation is approved and payment has already been collected, the eligible amount will be refunded to the original payment method.

We cannot guarantee cancellation after a pre-order has entered production, roasting, packaging, customization, or fulfillment.

Once a pre-order has been fulfilled or shipped, it is subject to our Refund Policy. Roasted coffee, custom products, personalized products, private-label products, and other perishable or specially prepared items may not be returnable.

Changes or Cancellation by Kafiex

Kafiex reserves the right to change an estimated fulfillment date or cancel a pre-order if the product becomes unavailable or cannot be fulfilled.

If Kafiex cancels a pre-order, any payment collected for the canceled product will be refunded to the original payment method.

Commercial equipment, private-label products, wholesale orders, and other business-to-business pre-orders may be governed by separate estimates, invoices, purchase agreements, deposits, cancellation terms, or manufacturer requirements. Those transaction-specific terms will control when they differ from this policy.

Refunds

Canceling a subscription or pre-order does not automatically qualify an order for a refund.

Refund eligibility depends on whether payment has been processed and whether the product has entered production, been roasted, prepared, fulfilled, picked up, or shipped. Approved refunds will be processed according to our Refund Policy.
